WAREHOUSE STAFF – JOB DESCRIPTION

1. Job Objective

Ensure that materials, components, goods, and equipment are properly managed, stored, and controlled in terms of inbound, outbound, and inventory accuracy in accordance with procedures, supporting production, installation, and delivery activities in a timely manner.

At the same time, comply with ISO standards, 5S practices, and warehouse safety regulations to minimize losses and inventory discrepancies.

2. Key Responsibilities

2.1. Receiving and Stocking Goods

• Check delivery documents and verify:
• Quantity
• Item codes
• Product quality
• Packaging condition
• Review Goods Receipt Notes, Purchase Orders (PO), and delivery records.
• Coordinate with QA/QC to inspect incoming materials, components, chemicals, and equipment.
• Update inventory data into ERP or warehouse management systems.
• Label and arrange goods according to storage layout and methods (FIFO / FEFO).

2.2. Issuing Goods for Production and Installation

• Prepare materials based on warehouse requisition forms (PR/WO) from relevant departments.
• Verify accuracy of:
• Item codes
• Quantities
• Units of measurement
• Project or usage purpose
• Update outbound transactions in the ERP system.
• Maintain and store related documentation.
• Support material transportation to production or installation areas when required.

2.3. Inventory Control and Warehouse Organization

• Monitor inventory levels daily, weekly, and monthly.
• Report promptly when materials are low or out of stock.
• Propose replenishment plans for consumable materials.
• Maintain warehouse cleanliness and organization by category:
• Raw materials
• Semi-finished goods
• Finished goods
• Scrap materials
• Conduct periodic or ad-hoc stock counts.
• Reconcile inventory data with the Accounting department.

2.4. Goods Storage and Preservation

• Ensure goods are stored under appropriate conditions:
• Dry
• Clean
• Controlled temperature and humidity (especially for stainless steel, electronic components, and chemicals).
• Monitor expiration dates and provide early warnings for materials nearing expiry.
• Manage labels, barcodes, and QR codes for traceability.

2.5. Support and Reporting

• Coordinate with departments such as:
• Purchasing
• Accounting
• QA/QC
• Production
• Prepare and submit reports including:
• Periodic inventory reports
• Slow-moving inventory reports
• Damage, loss, and scrap reports
• Perform other tasks assigned by direct supervisors.

Education

• College degree or higher in Accounting, Business Administration, Logistics, Mechanical Engineering, or related fields.

Experience

• Minimum 1 year of experience in warehouse management, material control, manufacturing, or factory operations.

Technical Knowledge

• Strong understanding of warehouse operations including receiving, issuing, and inventory control processes.
• Knowledge of FIFO principles, stocktaking procedures, and inventory management.
• Familiar with ERP systems and Microsoft Excel.

Skills

• Proficient in computer usage, Excel, and ERP software.
• Ability to organize, classify, and label goods systematically and efficiently.

Preferred Qualifications

• Experience working with stainless steel materials, mechanical equipment, chemicals, or cleanroom supplies is an advantage.

Salary

• Entry-level staff: 8 – 10 million VND/month
• Official staff: 10 – 12 million VND/month
